POSITION SUMMARY& PURPOSE

The Personal Assistant provides dedicated support to the Principal’s Wife and Next Gen within a dynamic and fast-paced Family Office environment. This role requires exceptional organizational skill, emotional intelligence, and discretion, ensuring that all personal and family-related matters are handled seamlessly and professionally.

The ideal candidate anticipates needs, manages priorities with precision, and upholds the highest standards of service and confidentiality. The Personal Assistant will work closely with the Director of Personal Services, Chief of Staff, and household team to maintain a smooth, coordinated rhythm across all aspects of the family’s personal, social, and philanthropic commitments. Domestic and international travel may be required.

The principal functions of this position shall not be considered a complete description of all work requirements and expectations that may be inherent in the role.

POSITION ESSENTIAL DUTIES & RESPONSIBILITIES

The following are duties, responsibilities, and leadership roles that the Personal Assistant

shall provide will include but are not limited to:

Household & Family Support

  • Serve as a trusted right-hand and primary point of contact for the Wife and Next Gen, managing daily priorities with professionalism and discretion.
  • Coordinate personal and household calendars, appointments, and events for the Wife and Next Gen.
  • Collaborate closely with the Director of Personal Services, Chief of Staff, and other household staff to ensure operational excellence.
  • Oversee household errands, purchases, wardrobe management, and travel logistics as needed.

Philanthropy & Social Engagement

  • Support the Wife’s philanthropic initiatives, including charitable events, board engagements, and gala participation.
  • Maintain relationships with philanthropic partners, vendors, and event organizers.
  • Manage RSVPs, guest lists, and related correspondence for social or charitable functions

Administrative & Logistical Coordination

  • Handle confidential correspondence, calls, and inquiries with tact and clarity.
  • Manage personal records, contacts, itineraries, and documentation.
  • Anticipate needs and proactively resolve scheduling conflicts or logistical challenges.
  • Coordinate travel arrangements, including flights, ground transportation, accommodations, and itineraries for both domestic and international travel.

Communication & Relationship Management

  • Facilitate clear communication among family members, staff, and third-party contacts.
  • Act as a liaison between the Wife, family members, and other internal departments within the Family Office.

Confidentiality & Professional Standards

  • Represent the Principal’s family with professionalism, courtesy, and discretion at all times.
  • Exhibit flexibility and composure when handling last-minute requests, shifting priorities, and complex situations.
  • Support the overarching mission of the Family Office, fostering collaboration, efficiency, and excellence across all operations
  • Maintain confidentiality in all aspects of the role, demonstrating the highest degree of discretion and integrity.

EDUCATIONAL/SKILL REQUIREMENTS

The Personal Assistant requires a minimum of a Bachelor’s Degree and:

  • Proven success supporting private individuals or families within a Family Office or high-profile private household.
  • Exceptional organizational skills with the ability to manage multiple priorities and deadlines.
  • Strong interpersonal and communication skills; able to interact effectively with high-profile individuals and vendors.
  • High proficiency with technology, including Microsoft Office Suite, iPhone/iOS, and cloud-based scheduling platforms.
  • Demonstrated ability to handle sensitive and confidential information with discretion and professionalism.
  • Willingness to work long hours, including some weekends and holidays, as needed.
  • Clean driving record, background check, and ability to sign and uphold a strict confidentiality agreement.
  • Service-oriented mindset with a “no-task-too-small” attitude.
  • Emotional intelligence, social awareness, and refined sense of etiquette.
  • Calm demeanor, sound judgment, and unwavering attention to detail.
