JOB SUMMARY:

The Accounting Specialist processes the activities related to the agency purchasing, accounts payable and accounts receivable systems. This position assists in oversight of tracking in-kind donations, grant transactions, and inventory. This 25 hour a week position that also executes payroll processing needs during summer months.

ESSENTIAL FUNCTIONS:

Accounts Payable:

  • Assemble required documentation for voucher packages in a timely and accurate manner, (i.e. requisitions, purchase order number, receiving records and invoices).
  • Code Accounts Payable invoices and credit memos according to allowable costs for grants.
  • Enter recurring invoices and electronic transfers for payment.
  • Enter coded invoices in accounts payable module and process checks.
  • Enter approved check requests with documentation for payment.
  • Reconcile vendor accounts as needed to ensure current and accurate information is recorded.
  • Reconcile accounts payable to subsidiary ledger monthly.
  • Process credit card charges.

Accounts Receivable:

  • Process cash receipts
  • Process and manage payments received

Purchasing:

  • Place orders for components as initiated by Head Start staff.
  • Process purchase requests and monitor receiving process to ensure items have been received.

Recordkeeping:

  • Bank Reconciliation
  • Fixed Asset Recording
  • Journal Entries
  • Unclaimed Property
  • W-9/1099 Data
  • Monitor grants by reviewing reimbursement requests and draws
  • Run fiscal reports

Other Duties:

  • Entry and review of in-kind donations
  • Monitor petty cash and cash receipts
  • Other duties as assigned

USING ACTIVE SUPERVISON TO KEEP CHILDREN SAFE:

Head Start, Inc. uses the strategy of Active Supervision to ensure that no child is left unattended while in the care of Head Start, Inc. Incidents of children left unsupervised must be immediately reported to the Executive Director.

All Head Start, Inc. employees are responsible for the safety of children in our program. Active Supervision requires focused attention and intentional observation of children at all times. All employees who care for children position themselves in classrooms, on playgrounds, in hallways, on buses, on field trips and in any space where children are present so that they can observe all of the children: watching, counting, and listening at all times. They also use their knowledge of each child's development and abilities to anticipate what he/she will do, then get involved and redirect them when necessary.

Requirements:

EDUCATION AND EXPERIENCE REQUIREMENTS:

Two (2) years secondary education or coursework in a Business, Finance or Accounting related field. One year experience working in a finance department. Equivalent combinations of education and experience that provides the necessary skills and abilities will be considered.

PHYSICAL DEMANDS:

This position requires an individual to be able to remain in a stationary position for most of their workday, with reasonable breaks to move and stretch. Constantly operate a computer and other office productivity machinery, such as a calculator, copy machine, and computer printer. Ability to discern information from computers, computer applications, and web platforms. The person in this position needs to occasionally move about the inside of the office to access filing cabinets, office machinery, meeting rooms, etc. Occasionally position self to maintain workspaces, including under desks or other office equipment. The person in this position frequently communicates with employees, children, and community members and therefore, must be able to exchange accurate information in these situations. The employee may occasionally move objects up to 30 pounds. May be requested to work in outdoor weather conditions.

WORKING CONDITIONS:

The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. While performing the duties of this position, the employee will work in a busy office environment. Noise level may fluctuate throughout the day but is usually moderate.

Compensation details: 20.28-23.32 Hourly Wage
